How Trade Show Booth Rentals Work

Renting a trade show booth is not the same as buying one, and it is not the same as ordering furniture from the show. It sits in between. You are buying the use of a complete, professionally built exhibit for one show, plus the people and logistics required to get it onto the floor and off again.


Most exhibitors renting for the first time have the same two questions. What am I actually getting for this price, and what do I still have to handle myself. This page answers both, in plain language, and walks you through every step from the moment you place your order to the week after your show closes.


The short version of the second question: you send us artwork, you approve a proof, and you sign the forms the show requires from the exhibitor of record. Your project manager prepares the paperwork, tells you what each form does, and confirms it landed. The reason those signatures have to be yours is security. Shows will not let a vendor authorize charges, take delivery, or claim floor access on your behalf without your name on the form.

What a rental is, in one paragraph

You order a complete booth package at a fixed price, online or through a sales representative. We print your graphics, pack the kit, and ship it to the show. Our crew installs it before the show opens and takes it down after the show closes. The hardware ships back to us. You keep your graphics, or we store them free for your next show. You never own, store, repair, or move the structure.

What is included in every Ace Displays rental package

1. Hardware and lighting structure The complete aluminum frame system, all connecting hardware, the integrated LED lighting, and the shipping cases. This is the physical booth. It arrives at the show floor as a packed kit and leaves as a packed kit.


2. Graphic kit Your artwork printed on SEG fabric and tensioned into the frame for a flat, seamless, frameless finish. The main wall panels are backlit, so they glow from within rather than sitting flat under a spotlight. Some elements of certain packages, such as doors, are printed on the same fabric but are not illuminated. The product page for each package shows which panels are backlit.

Your graphics are yours. They are purchased, not rented. After the show you choose whether to store them with Ace Displays for reuse or take them home.


3. Accessories Flat screens, counters, and shelving as shown in the product images for the package you select.


4. Carpet and padding Booth carpet and the padding underneath it, sized to your space, in your choice of four colors: Gray, Tuxedo, Black, or Midnight. You pick the color on your intake form after you order. You do not need to order flooring from the show contractor.


5. Installation and dismantle of the exhibit hardware and lighting Professional labor to build the booth before the show opens and take it apart after it closes. Our crews work from our own documented build sequence, so the booth goes up the same way every time.


6. Full service project management and show services coordination A dedicated project manager who reads your exhibitor service manual, tracks your show deadlines, places your show service orders for you, and prepares the paperwork you need to sign. Every show publishes a manual with a dozen or more deadlines, and missing them converts standard rates into penalty rates. Managing that calendar is our job, not yours.


7. Round trip logistics and shipping to the advance warehouse We ship the kit from our Southlake, Texas facility to the show's advance warehouse ahead of the published receiving deadline, and we handle the return freight after the show. Advance warehouse delivery is the lowest risk shipping method available at a trade show, because your freight is already in the building's queue before move in begins.

One price, one partner, one number to call. You do not manage a booth vendor, a graphics vendor, a flooring vendor, a freight carrier, and a labor contractor. You manage us.

What is not part of the rental price, and how we handle it

Five costs sit outside the rental price. They are set and billed by the show or by a third party, not by us, so they cannot be folded into a published rate.


You do not chase these orders. We do. After your rental order is confirmed, your project manager collects what is needed and submits the service orders on your behalf. You pay the show directly. We make sure the orders exist, are correct for your specific booth, and are placed on time.


1. Furniture Seating and tables are not part of our rental packages. Furniture shown in product photography is for context only and does not ship with your booth.

Furniture is ordered from the show's general contractor or from a third party furniture rental company. Your project manager will walk you through the options and help you get it ordered so it arrives with everything else.


2. Electric service Power to your booth space. Your booth uses LED lighting and, on some packages, a flat screen, so you do need power. Your project manager knows the exact wattage and outlet configuration your package requires.


3. Installation and dismantle of electric The labor that runs power from the floor port to your booth and connects it under the carpet. At most major venues this is a separate union labor category from exhibit labor and cannot be performed by our crew. It is ordered on the same form as the service itself, at the same time.


4. Vacuuming Carpet cleaning on the show floor. Your carpet arrives clean and is installed clean, but show floors get walked on during move in and between show days. Vacuuming is sold by the general contractor, usually priced per day. Your project manager will recommend a level and place the order.

On advance rates. Nearly every show service costs less when ordered before a published deadline. When you order your rental with reasonable lead time, we place your service orders at the advance rate. If your rental order comes to us late, some of those deadlines may already have passed, and the show will charge its standard or floor rate. This is one of several reasons to order early.

5. Material handling, also called drayage

This one works differently, so read it carefully. Drayage is not something anyone orders. It is the show's charge for receiving your freight, storing it, moving it from the dock to your booth space, removing your empty cases during the show, returning them after, and moving your freight back to the dock. The general contractor calculates it from the weight of your shipment and invoices it. It applies to every exhibitor at every major show.


It covers everything you ship in, not just the booth. Product, samples, literature, giveaways, and anything else you send to the show is weighed and charged the same way, whether it arrives with our freight or in a separate shipment from your own facility. Budget for both.


On prices that appear to include drayage. Some exhibit houses do build an allowance for it into their pricing. Read those quotes carefully. The rate is set by the show and changes from show to show, so an included figure is an estimate built on assumptions about the weight and timing of your shipment. Ask what happens when the actual charge comes in higher. We publish our price without it and give you the real number instead.


Why our kits cost less to drayage. Our systems are aluminum and SEG fabric. They are deliberately light. Drayage is weight based, so a lighter booth is a cheaper booth to get onto the floor.


What we do. Your project manager gives you the drayage rate published in your show manual, the estimated weight of your specific kit, and the resulting estimate, in writing, well before your show. You will not be guessing.

Required before your booth can ship: your payment authorization form.


The general contractor will not receive freight or fulfill service orders without a payment authorization form on file in your company name. It comes from your exhibitor service manual and it must be filed before your kit leaves our facility. Your project manager will prepare it, walk you through it, and confirm with the contractor that it is on file.


Keep it valid and funded through move out. If it fails at the close of the show, the general contractor can ship your freight on its own terms at its own rates, a situation called forced freight, and those charges are yours.


Budget five line items beyond your rental price: furniture, electric service, electrical labor, vacuuming, and drayage. We help you order the first four. All of them are billed to you by the show or the furniture supplier.

The rental process, step by step

Step 1: Choose your booth

Two ways to do this, and both are fine with us.


Order online. Pick your size and package, select your show, and check out at the listed price. No quote request and no waiting.


Talk to a rental specialist. If you would rather walk through the options, ask how a package fits your space, or get a written quotation before committing, contact us and a specialist will take you through it. Plenty of exhibitors prefer this the first time.

Get your artwork template early. The template for each package can be downloaded from the product page, and it is also attached to your written quotation and to your order confirmation email. Getting it to your designer early is the single biggest thing you can do to protect your schedule.


Step 2: Order confirmation, project manager, and your intake form

Within one business day of your order you receive a confirmation, an introduction to the project manager assigned to your show, and a short intake form.


The form takes about five minutes and asks for:

  1. The main contact your project manager should work with before the show
  2. The show you are attending
  3. Your registered company name at the show, exactly as it appears on your exhibitor record
  4. Your booth space number
  5. An on site contact name and mobile number for show week
  6. Your carpet color
  7. What you want done with your graphics after the show


Carpet colors are Gray, Tuxedo, Black, and Midnight.


Graphics has three options and you can change your mind later:

  • Ship them back to me
  • Store them at Ace Displays free for two years so I can reuse them
  • Dispose of them for me


Why we need this. Your registered show name and booth number are how the general contractor identifies your freight and your service orders. If they do not match your exhibitor record exactly, your booth and your power get delivered to the wrong place or not at all. Returning this form quickly is the one administrative thing we genuinely need from you.


Please also forward your exhibitor service manual or your show portal access.

Step 3: Show services coordination begins

This starts the day your order lands, not later. Show deadlines are the least forgiving part of a trade show, and the earlier your project manager gets into your exhibitor service manual, the more of them we can hit at the advance rate.


In this window your project manager pulls your deadlines, places your electric, electrical labor, and vacuuming orders, helps you get furniture ordered, prepares your payment authorization form, and handles exhibitor appointed contractor notification, certificates of insurance, and labor ordering where the venue requires them.


What we need from you: the signed forms back promptly. Your project manager will tell you what each form does and why the show wants your signature rather than ours.

Step 4: Artwork

If you have your own artwork, submit it using the template for your package. The template is sized to your specific booth and marks the safe area, the bleed, and the zones that fall behind frame members.


If you need design help, add design services to your order on the product page and our team will build your graphics from your logo, brand colors, and creative direction. Plan on one to two additional weeks of lead time for design, and order that much earlier than you otherwise would. The show's freight deadline does not move to make room for design work.


What we need: print ready vector or high resolution files, or your brand assets and direction if we are designing for you.

Step 5: Digital proof and approval

We send a digital proof showing your artwork mapped onto the booth. You review it and either approve it or request changes.


The earlier you submit artwork, the more time you have with the proof. Our production and freight schedule is built backward from the show's freight deadline, which is set by the show and cannot be moved. Submit six weeks out and you have room to sit with the proof, circulate it internally, request changes, and look at it again. Submit on the last day we can accept orders for your show and the schedule assumes you approve within one business day.


Once you approve the proof and printing begins, your graphics are nonrefundable. That is true of any printed graphic, since it is made for you and cannot be resold.


If your approval has to go through several people, or through a legal or brand review, order early. That is the whole trick to a rental that does not create stress.

Step 6: Graphics production and kit build

We print your graphics in house, build your kit, verify the piece count against the packing list, and pack the cases. Printing in house means your graphics are not sitting in a third party queue and reprints are fast if something is wrong.


What we need from you: nothing. This is our window.

Step 7: Shipping to the advance warehouse

Your kit ships from Southlake, Texas to the show's advance warehouse inside the published receiving window. The advance warehouse holds your freight and the general contractor delivers it to your booth space before move in.


We select the carrier and method for each shipment, sometimes LTL freight and sometimes parcel, based on the size of the kit and what gets it there most economically. Either way it is our cost and our decision.


What we need from you: nothing. Your project manager confirms when your kit leaves our facility. Once freight is in the general contractor's hands, arrival status is theirs to report, not ours. If you want to know whether your booth is in the building, ask your project manager and they will chase it down for you.

Step 8: Installation

Our crew installs the booth during your assigned move in window: frame, lighting, graphics, accessories, carpet, and padding. Your electrical contractor runs power on the same schedule, and any furniture you ordered is delivered by its supplier.


What we need from you: nothing on the floor. You are welcome to walk the booth before the show opens, and we recommend it, but you do not need to be there during install.

Step 9: Show days

Your booth is up and lit.


Your project manager is available during business hours throughout show week. You are also given a show site contact who is reachable outside business hours and on weekends, because show floors do not keep office hours and the things that need a fast answer tend to surface early on move in day or over a weekend.


The on site contact name and mobile number you gave us on the intake form is how we reach you if something needs a decision.


What we need from you: nothing. Work your show.

Step 10: Dismantle and return

After the show closes, our crew dismantles the booth, packs the cases against the packing map, and turns the freight over for return shipment. The hardware comes back to Southlake, is inspected, and goes back into the rental fleet.


What we need from you: clear your own product, literature, and personal effects out of the booth before the scheduled dismantle time, and leave the booth itself alone. Do not start taking it apart and do not release any of it to anyone other than our crew.

Step 11: Your graphics

We do whatever you selected on your intake form.


Store them with us, free, for two years. This is what most repeat exhibitors choose. Your graphics are serialized, stored at our facility, and pulled for your next show at no charge. Rebooking with stored graphics is meaningfully cheaper than a first rental, because you are not paying to print again.


Ship them to you. They are yours.


Let us dispose of them. If the design was show specific and will never be used again, we will handle it.


Design tip: graphics with no show name, date, or booth number in the design can be reused at any future show. If you plan to exhibit again, design them that way from the start and the storage option pays for itself the first time you use it.

Deadlines for our current shows

Order by the advance warehouse date. It is the safer path and it is the schedule the price assumes. Orders after that date can still be filled for show site delivery, but they carry a rush fee and the freight has to hit a narrow assigned window on move in day, which leaves far less room for anything to go wrong.

Ordering design services? Add one to two weeks to every date above and order accordingly.

Note the pattern: artwork approval falls the day after the order deadline, and production runs three days. Ordering six weeks out means none of these dates put pressure on you. Ordering on the deadline means the schedule has no slack in it.

Cancellations, changes, and damage

Full detail is in our Rental Terms and Conditions. The summary below is accurate but not a substitute for the terms themselves.

Cancellations

Cancellations must be in writing to [email protected]. We cannot accept a verbal cancellation.


Charges are calculated from your scheduled ship date, not your show date. Those are different, and the ship date comes first, so check the deadline tables above.

Graphics are separate and are 100% nonrefundable once you approve your proof and printing begins. Freight and show services already ordered are also nonrefundable.


The table sets the maximum charge, not an automatic one. If your plans change, call your project manager as early as you can. We would rather work something out with you than apply a cancellation charge.

Changing your show or your date

Moving a rental to a different show or a different date is treated as a cancellation and a new order, unless we agree in writing to reschedule. We will consider a reschedule if you ask at least 30 days before your scheduled ship date and the new date falls within 12 months. A rescheduling fee of 25% of the rental subtotal applies, plus any additional freight, graphics, or show services cost.

If the show itself is cancelled

If the show organizer or the venue cancels, postpones, closes, or relocates the event for any reason, the cancellation charges above still apply. We may choose to issue a credit toward a future rental instead, valid for 12 months, but that is at our discretion and not a guarantee.


We say this plainly because it surprises people. Our costs are committed well before a show opens, and we cannot recover them from the organizer any more than you can. If a cancelled show would be a serious financial problem for you, buy event cancellation insurance. It is inexpensive and it is the right tool for that risk.

Damage

The hardware belongs to us and comes back to us, so the terms treat damage the way any equipment rental does.


Normal wear is expected and never charged. These kits have been to shows before and will go to shows again. Minor surface scuffing, light scratching, and finish dulling from careful use are normal and are not a defect. If your kit arrives with cosmetic wear consistent with that, it is not damaged.


Damage beyond normal wear is chargeable. That means things like bent or broken frames and connectors, torn or stained or burned fabric, tape and adhesive residue, water or weather damage, missing or broken cases and wheels, and lighting failures caused by mishandling or the wrong voltage.


How it works if something happens. Tell your project manager during the show. We inspect returned equipment within 10 business days and, if there is a charge, send you a written assessment with photographs and an itemized cost before we bill anything. Kits returned excessively soiled or covered in adhesive are subject to a cleaning charge.


When we install and dismantle, most of this risk is ours to manage. Our crew packs the kit against a packing map. The damage exposure that lands on an exhibitor is usually something that happened in the booth during the show, not during handling.

If we cannot deliver

If we fail to deliver, deliver late, or deliver incomplete or nonconforming equipment, your remedy is substitute equipment, repair or replacement, or a refund of the rental fees for the affected equipment, at our option. We are not liable for booth space cost, travel, staff time, lost sales, or other show related costs. That is standard across the exhibit rental industry and it is stated in full in the terms.

What does the price on the product page actually cover?

Hardware and lighting, your printed graphic kit, accessories, carpet and padding, installation and dismantle of the exhibit, project management and show services coordination, and round trip freight to the advance warehouse.

What will I pay for beyond the rental price?

Five things: furniture, electric service, the labor to install and remove that electric, vacuuming, and drayage. Your project manager helps you order the first four and estimates drayage in writing. All are billed to you by the show or by the furniture supplier.

Is furniture included?

No. Furniture shown in product photography is for context and does not ship with the booth. Your project manager will help you order it from the show's contractor or a third party rental company.

Can I choose my carpet color?

Yes. Gray, Tuxedo, Black, and Midnight. You select it on your intake form after you order.

Will my services be at the advance rate?

If your rental order reaches us with reasonable lead time, yes. If it comes in late, some advance deadlines may already have passed and the show will bill its standard or floor rate. Another reason to order early.

So do I have to deal with the show myself?

Only to sign. Your project manager prepares the paperwork and places the orders. The forms that carry your signature and payment method have to come from you, because shows will not let a vendor authorize charges or take delivery in your name. That is a security requirement, not a formality.

Why is drayage not included in the price?

Because the show sets the rate, it varies show to show, and it is calculated from the weight of everything you ship in. Some exhibit houses build an allowance into their pricing. We would rather publish a price you can trust and give you an accurate estimate of the show's charge separately.

Does drayage apply to my product and literature too?

Yes. Anything you ship to the show is weighed and charged, whether it comes in with our freight or in a separate shipment from your facility.

Are all the graphics backlit?

The main wall panels are. Some elements on certain packages, such as doors, are printed on the same SEG fabric but are not illuminated. Each product page shows which panels are backlit.

Do I need design help?

If you have print ready artwork, no. If you do not, design services can be added on the product page. Build in one to two extra weeks of lead time and order that much earlier.

Do I own the graphics?

Yes. The hardware is rented and returns to us. The graphics are purchased, not rented, and are yours to keep, store with us free for two years, or have us dispose of.

Can I cancel?

Yes, in writing, with a charge that increases as your ship date approaches. See the cancellation table above, and note that the tiers run from your ship date rather than your show date. Those are different, and the ship date comes first. The table sets the maximum charge, so call your project manager early if something changes.

What if my show gets cancelled?

Cancellation charges still apply. We may issue a credit toward a future rental at our discretion. If a cancelled show would be a serious financial problem for you, carry event cancellation insurance.

The booth has scuffs on it. Is that a problem?

No. These are rental kits and they have been to shows before. Minor scuffing, light scratching, and finish dulling are normal and are never charged to you. Damage beyond that, like bent frames or torn fabric, is chargeable, and we send you photographs and an itemized assessment before billing anything.

How much time do I get to approve my proof?

That depends on when you order. Order well ahead of your show and you have real time to review and circulate the proof. Order on the last day we can accept orders for your show and the schedule assumes a one business day approval.

Do I need to be on site during install?

No. Our crew installs the booth during the assigned move in window. You are welcome to walk it before doors open, and we recommend it.

Who do I call during show week?

Your project manager during business hours, and a dedicated show site contact outside business hours and on weekends.

What if I miss the advance warehouse deadline?

You can still order up to the show site deadline for your show. Those orders carry a rush fee and ship directly to the venue for delivery inside an assigned time window on move in day. It works, and we do it, but the advance warehouse path is the more forgiving of the two. Freight sent to the warehouse is already in the building's queue days ahead of move in, while show site freight has one narrow window to hit.

Can I get a quote instead of ordering online?

Yes. Contact us and a rental specialist will walk you through the options and send a written quotation.

Show terms you will see, in plain English

General contractor, or GSC. The company the show organizer hires to run the physical show floor: freight, labor, furniture, cleaning, and the exhibitor service manual. Freeman and GES are the two largest.


Exhibitor service manual. The document the show sends you with every order form, deadline, rule, and rate for your show. Everything ordered at a show flows through it.


Payment authorization form. The form that puts your payment method on file with the general contractor. Nothing gets received, delivered, or serviced at your booth without it, and it needs to stay valid through move out.


Forced freight. What happens when a show closes and your freight has not been released, usually because the payment authorization on file failed. The general contractor ships it on its own terms at its own rates, and those charges land on the exhibitor. Keeping your payment authorization funded through move out is what prevents it.


Advance warehouse. A facility near the venue that receives exhibitor freight in the weeks before the show and delivers it to your booth space before move in. Lower risk than shipping to the venue directly.


Show site delivery. Shipping freight to the venue itself during move in rather than to the advance warehouse. Used when the advance warehouse deadline has passed.


Targeted freight. Large shows cannot unload every exhibitor at once, so instead of a general move in they assign each booth a specific date and time window to deliver freight to the venue. That assignment is your target. Freight arriving outside its window may be turned away, held, or charged an off target fee, and it can push your installation later than planned. Targeted move in is one of the main reasons advance warehouse shipping is lower risk: freight already sitting at the warehouse gets delivered to your space by the general contractor on schedule, without a truck needing to hit a window.


Material handling, or drayage. The general contractor's charge for moving your freight between the dock and your booth and handling your empty cases. Weight based, applies to everything you ship in, and unavoidable.

LTL. Less than truckload. A freight method where your pallets share a trailer with other shippers' freight, used for larger booth shipments. Smaller kits sometimes move by parcel instead.


Move in and move out. The days before and after the show when booths are built and taken down.


Advance rate versus floor rate. Almost every show service is cheaper if ordered before a published deadline. This is a large part of why we place your orders for you, and why ordering early matters.


SEG fabric. Silicone edge graphic. A printed fabric panel with a thin silicone strip sewn into the edge that tensions into a channel in the frame, producing a flat, seamless, frameless look.


Backlit. Lit from behind the graphic rather than from a light aimed at the front of it, so the whole panel glows evenly.

Display Design + Uploading

Look for an email from us.

Phew! You've placed your order... now sit back and relax (momentarily). Our team will setup your order in our artwork upload and graphic proofing system — InstaProof — and will send you a confirmation email with an access link so you can start uploading. Our team generally will have your Instaproof email sent within 30-60 minutes of placing your order. If you don't see the email, check your spam folder or give us a call.
We do have some guidelines.

Once you receive your Instaproof upload link (via email) and your graphic files have been built using our provided Design Templates and Artwork Guidelines, you have the power to upload your design file to InstaProof. Instaproof will generate a proof in a few short minutes (depending on your file size), which you can review and approve right from your browser.

Our production team is a lean, mean, display-making machine, pumping out event displays with skill and precision. As soon as your order and approved artwork come in, the gears are set into motion. In well-coordinated fashion, our print technicians and seamstresses work carefully and efficiently to create your display with stunning results.

Since we print, cut, hem and sew everything in-house, most products ship the next business day if all artwork is approved by 12pm CT.

We pride ourselves on delivering quality printed products, so it’s only natural we conduct rigorous quality assurance inspections before shipping your display out. We fully assemble your display as it will stand on the event floor and meticulously inspect the exhibit’s alignment, color quality and image resolution to guarantee that our clients receive only the highest quality event display.
